Where instructions still slip
Intake forms catch the people who use them. Enquiries that arrive by email, voicemail or referral still need entering and checking for conflicts before anyone replies properly. After a first consultation, a prospective client who wants to think about it often hears nothing more. And a former client whose lease renewal or will review is coming up is rarely contacted, even though former clients are exactly who a firm may approach.

Enquiry logged, conflicts flagged
Starts when: an enquiry arrives by email, web form or referral.
- The enquiry is read and the enquirer, any other parties named and the type of matter pulled out.
- A contact is created in Clio and the names are compared against existing contacts.
- Possible matches are flagged for a fee earner to review. The automation never clears a conflict itself.
- The enquirer gets an acknowledgement saying when to expect a reply, with no advice in it.

Consultation, no instruction
Starts when: a consultation has taken place and no matter has been opened.
- Calendar entries and matters are checked in Clio for consultations with nothing opened after them.
- After the window you set, the fee earner gets a prompt with the enquiry details.
- If they approve, a short follow-up goes to the prospective client in their name.
- Opening a matter in Clio ends the follow-up.

Key dates for former clients
Starts when: a date recorded on a closed matter is approaching, such as a lease renewal, rent review or will review.
- Key dates are read from a custom field or calendar entry on the matter.
- Ahead of the date, the fee earner is asked whether to get in touch.
- If they say yes, the former client gets a short email in the fee earner's name.
- A reply creates a task in Clio for that fee earner.

Enquiries outside Clio's intake forms are logged as contacts instead of waiting in email.

Consultations are read from the calendar, and follow-ups arrive as tasks for the right fee earner.

Bill reminders, payments and signing stay in Clio. We don't touch them.

The connection
Through Clio's API and webhooks.
Clio publishes a REST API, with UK accounts served from its EU region, and webhooks for matters, contacts, bills, calendar entries, tasks and communications. There's also a Zapier app with triggers such as New Matter and New Contact.
Client information is confidential and often sensitive. We agree what is read and kept before access is granted, and nothing goes to a client or prospective client without a fee earner's approval.
Who it suits
A good fit if…
You're a small or mid-sized firm on Clio doing private client, property, family or employment work.
Enquiries come through several channels and conflict checks slow down the first proper reply.
Consultations don't always turn into instructions, and nobody follows up.
If your work comes entirely from panel referrals or institutional clients, enquiry follow-up has little to do.

It flags possible matches against your existing contacts so they're in front of a fee earner sooner. Deciding whether there's a conflict stays with a solicitor.
Can a law firm contact former clients like this?
The SRA Code of Conduct doesn't allow unsolicited approaches to members of the public to advertise your services, but current and former clients are an exception. Every message here goes to someone who contacted the firm or was a client, is approved by a fee earner, and respects their marketing preferences under data protection law.

No. Bill reminders and payments stay in Clio. This is about enquiries, consultations and former clients.
