  • What Commusoft already does

    Job management for firms with several engineers: scheduling, certificates, invoicing and a customer portal, with native links to Xero, QuickBooks Online, Sage, FreeAgent, Mailchimp, HubSpot and Pipedrive. It already sends appointment confirmations, pre-visit and service reminders, on-the-way texts and post-job feedback requests.

  • Where work still slips

    Proposals are where the bigger jobs stall. A boiler replacement or a rewire proposal goes out, the office gets on with today's jobs, and nobody asks again. Website enquiries still have to be keyed in as opportunities. And a happy customer's feedback inside Commusoft isn't the same as a Google review, which is the one that helps the next customer find you.

How it works, step by step.

    Website enquiry to opportunity

    Starts when: a quote request comes in through your website or inbox.

    1. The enquiry's contact details, address and type of work are pulled out.
    2. A customer, work address and opportunity are created in Commusoft.
    3. The enquirer gets an acknowledgement email straight away.
    4. The office sees it in Commusoft, not buried in a shared inbox.
  • 02

    Proposal follow-up

    Starts when: a proposal is sent from Commusoft.

    1. The proposal-sent event starts a follow-up sequence in your wording.
    2. Messages are spaced over the days you choose, not fired all at once.
    3. When the opportunity is marked won or lost, the sequence stops.
    4. Proposals still open past your cut-off go on a short call list for the office.
  • 03

    Review request after completion

    Starts when: a job is marked complete.

    1. The job-complete event queues a review request for that customer.
    2. It goes out after a delay you set, pointing at your Google review link.
    3. Customers with an open complaint, or who've opted out, are skipped.
    4. Every request sent is logged, so you can check it's running.

  • Your website and inbox

    Enquiries become Commusoft opportunities without anyone re-typing them.

  • Google Business Profile

    Review requests point customers at your Google listing, where reviews help you get found.

  • Your accounting software

    Commusoft already links to Xero, QuickBooks, Sage and FreeAgent. We leave that alone.

  • A proposal report

    Open, won and lost proposals by value and age, so the office knows what to chase.

The connection

Through Commusoft's API or its Zapier app.

Commusoft offers API access to customers on the appropriate subscription, and a Zapier app with triggers including New Job, Job Complete, Proposal Sent and Opportunity Won or Lost, plus actions to create customers, work addresses, opportunities and jobs.

Which route we use depends on your subscription, so we check that first. It decides what's buildable. Nothing is written into Commusoft until you've approved it.

Who it suits

A good fit if…

  • You run a multi-engineer firm on Commusoft: heating, electrical, plumbing, fire and security, or similar.

  • Proposals for larger jobs regularly go quiet.

  • You want Google reviews coming in without the office having to remember to ask.

If you rarely send formal proposals and your reviews already look after themselves, the case for automating around Commusoft is weak.

  • Commusoft already sends reminders and feedback requests. Does this duplicate them?

    No. Visit reminders and feedback stay in Commusoft. We add proposal follow-up, enquiries arriving as opportunities, and review requests that point at Google.

  • Which Commusoft subscription do I need?

    API access depends on your subscription, and the Zapier app is the alternative route. We check what you have before scoping any build.

  • Will it change jobs my engineers are working on?

    No. It creates enquiries and opportunities and reads job and proposal status. It doesn't edit scheduled jobs or certificates.
