    Recalls look after existing patients. The person who fills in your website form asking about implants, aligners or whitening isn't a patient yet, so nothing in Dentally is following them up. And the patient who comes in for a private treatment consultation and wants to think about it often hears nothing more until their next check-up.

    New patient enquiry

    Starts when: someone submits an enquiry on your website or emails the practice.

    1. The enquiry is acknowledged by email straight away, with a link to book online.
    2. It's logged with the treatment they asked about and where they found you.
    3. If they haven't booked after a set time, reception gets a reminder to call, with the enquiry in front of them.
    4. When a matching new patient appears in Dentally, the follow-up stops.
  • 02

    Treatment consultation follow-up

    Starts when: a patient has had a consultation for a private treatment and hasn't booked the treatment.

    1. Consultation appointments are read from Dentally on a schedule.
    2. If no treatment appointment follows within the window you choose, the patient gets a follow-up in the clinician's name, in wording the practice has approved.
    3. A second prompt goes to your treatment coordinator rather than the patient, so a person makes the next move.
    4. Booking the treatment ends the sequence.
  • 03

    Review request after a first visit

    Starts when: a new patient's first appointment has taken place.

    1. The appointment is picked up from Dentally.
    2. The next day, a short thank-you with a link to your Google review page goes out.
    3. Patients who've opted out of contact are skipped.
    4. If you already use a feedback partner from Dentally's integrations, we work with it rather than adding a second request.

The connection

Through Dentally's API and patient webhooks.

Dentally publishes a REST API with a sandbox, authorised with an API key from the practice. Webhooks for patients being created, updated or deleted are confirmed. Appointment events are something we test in the sandbox before relying on; where they aren't available, appointments are read on a schedule instead.

Dental records are special category data under UK GDPR. Before any access is granted, we set out exactly what is read, what is kept and where, and nothing contacts a patient until the practice has approved the wording.

Who it suits

A good fit if…

  • You're an independent practice or small group on Dentally with private treatments to offer.

  • New patient enquiries come through your website and don't always get a quick reply.

  • Consultations for private treatment don't reliably turn into booked treatment.

Not a fit for an NHS-only practice with a full list and no private treatments to follow up. Dentally's recalls will already be doing most of the work.

Dentally automation

  • Does this replace Dentally's reminders or recalls?

    No. Those stay in Dentally. We work on the enquiries and consultations that fall outside them.

  • What happens to patient data?

    We read the minimum needed for each automation, agree with the practice what is stored and where before access is granted, and never message a patient in wording the practice hasn't approved.

  • Can patients book straight from a follow-up?

    Yes. Follow-ups link to Dentally's own online booking, so appointments land in the diary as normal.
