Automation for TeamUp

TeamUp, with trials converted and members kept.

TeamUp takes the bookings and the payments. The automation we build acts on things TeamUp already records: an intro offer starting, a membership ending, a member who's stopped turning up.

Start from what’s there

What TeamUp covers, and what it leaves.

  • What TeamUp already does

Class and appointment booking, memberships and payments for independent studios and personal training businesses. It already charges late-cancel and no-show fees automatically, runs waitlists, sends texts, and sends emails before and after classes and at milestones.

  • Where members still slip

A no-show fee covers the missed class. It doesn't bring the member back. When a membership is cancelled or runs out, nobody asks why or invites them back. And someone who buys an intro offer gets their classes but rarely a conversation about what comes next, so the moment to offer a membership passes.

What we automate

How it works, step by step.

  • 01

    Intro offer to membership

Starts when: a customer starts an intro offer or trial pass.

    1. TeamUp's event reaches the automation when the offer starts.
    2. After their first class, they get a welcome email from their instructor, not a sales pitch.
    3. Before the offer ends, they get the membership options that fit how often they've been coming.
    4. Starting a membership ends the sequence. If they don't, the owner gets a short list to message personally.
  • 02

    Win-back when a membership ends

Starts when: TeamUp reports a membership as cancelled or ended.

    1. The cancellation or end event starts the sequence.
    2. A short email asks why, with one-click answers: moved away, cost, timetable, injury, something else.
    3. Depending on the answer, a later email offers something relevant, such as a different class time or a pause, where the studio offers one.
    4. Anyone who asks not to be contacted isn't contacted again.
  • 03

Check-in when a member goes quiet

Starts when: a member is marked as a no-show, or hasn't registered for a class in a set number of weeks.

    1. No-shows and class registrations are tracked per member.
    2. After a run of missed or empty weeks, the member gets a friendly check-in from their coach.
    3. The owner sees a list of members going quiet before they cancel.
    4. Booking a class resets the count.

What it connects to

TeamUp, wired into the rest.

  • Your website trial form

Trial sign-ups start the intro-offer sequence without anyone re-entering them.

  • Mailchimp

TeamUp's route to Mailchimp is through Zapier. We can use the same route, or send sequences directly.

  • Owner and coach notifications

Members going quiet and trials that didn't convert, as short lists to act on.

  • A membership report

Intro offers against memberships started, and cancellation reasons, month by month.

The connection

Through TeamUp's Business API and webhooks.

TeamUp's Business API credentials are created by the business from its own dashboard, and webhooks can be sent for the event types you choose. Its official Zapier app has triggers for new customers, memberships starting, ending or being cancelled, class registrations, late cancellations and no-shows.

Your fees, waitlists and TeamUp's own emails stay as they are. We add sequences around events TeamUp already records.

Who it suits

A good fit if…

  • You run an independent studio, boutique gym or personal training business on TeamUp.

  • Intro offers bring people in, but too few stay on.

  • Members cancel without anyone finding out why.

If you're a solo instructor with a small, steady group you see every week, you'll do this better in person.

FAQ

TeamUp automation, answered straight.

TeamUp automation

  • TeamUp already charges no-show fees. Why automate no-shows?

The fee deals with the missed class. The check-in deals with the member, because a run of missed classes often comes before a cancellation.

  • Will members get emails they didn't sign up for?

Messages about someone's own trial or membership are set up separately from marketing, and marketing only goes to people who've agreed to it. We set that line with you before anything is sent.

  • Does this change how bookings work in TeamUp?

No. Members book, pay and join waitlists in TeamUp exactly as before. The automation only reads events and sends follow-ups.
