What should a financial adviser's CRM do, and what does it leave?

In advice, the CRM is the back office: Intelliflo Office, the most widely used in the UK, or Iress Xplan. It holds clients, plans, valuations, fees and the compliance record. It's the system of record, and it shouldn't be replaced to add anything on this page.

Intelliflo runs an open API and an app store with more than 80 integrations, so work built around it can read and write client records directly. For Xplan and other back offices we confirm the route first.

How do we stop chasing letters of authority?

LOAs are still one of the slowest parts of taking on a client: wet signatures, separate requests per policy, providers who reply by post weeks later. Origo's Unipass Letter of Authority now sends requests digitally to providers that support it, which helps. The chasing around it is still manual.

  • One tracker per client listing every provider, when the LOA went, and what's come back.
  • Chasers to providers at set intervals, and to the client when a signature or policy number is missing.
  • Fact-find documents requested on the channel the client answers, with a secure upload link.
  • A note to the paraplanner when a client's information is complete and research can start.

How do we make sure every client gets the review they pay for?

The FCA's review of ongoing advice services, published in February 2025, looked at 22 large firms: reviews were delivered in around 83% of cases, clients declined or didn't respond in 15%, and firms hadn't attempted a review in 2%, where redress is likely. For a smaller firm, the risk is the same: a review that slipped, with no record that it was offered.

  • Invitations sent from each client's review date in the back office, with a booking link.
  • Reminders to clients who don't book, and a note to the adviser after a set number.
  • A short pre-review questionnaire on changes in circumstances, so the meeting starts informed.
  • Every offer, booking, decline and no-reply recorded against the client, as evidence the service was offered.
