CRM and AI for car dealers

Most UK independent dealers already have a CRM inside their dealer management system, such as Dragon2000, MotorDesk, Click Dealer or Vehiso, with Auto Trader enquiries flowing into it. What slips is the speed and persistence of the follow-up: replying to an enquiry at 9pm, chasing the buyer who went quiet after a test drive, answering the phone while everyone's on the forecourt, and bringing service and MOT customers back. That's what we build.

We're an AI engineering firm. We don't sell a DMS or a dealer website. We build the follow-up, call handling and reminders around the system you already run.

What software do car dealerships use in the UK?

Franchised dealers run the dealer management system their group or manufacturer uses. Independents and small groups choose from a set of UK DMS providers, most of which bundle stock, Auto Trader publishing, enquiries, invoicing and often the website. The CRM is usually inside the DMS.

Auto Trader Connect is Auto Trader's real-time link for partner systems such as MotorDesk, and your technology partner usually manages it. Anything we build works through your DMS or alongside it, not around Auto Trader's own rules.

How do we answer Auto Trader enquiries at 9pm?

Buyers browse in the evening and message several dealers about similar cars. The first useful reply, with the car's details and a time to see it, usually gets the visit. The next morning, they've often booked with someone else.

  • A reply within minutes: the car is available, its key details, and two or three test drive slots.
  • One or two questions that matter: part-exchange, finance or cash, when they want to buy.
  • The test drive booked in your diary and the enquiry updated in the DMS.
  • If they don't book, a follow-up the next day with a video walk-round, then a note to a salesperson.

More on why speed matters on our speed-to-lead page.

How do we follow up buyers who went quiet after a test drive?

Someone drives the car, says they'll think about it, and stops replying. Sometimes it's the price, sometimes the part-exchange figure, sometimes they bought elsewhere. Most dealers send one message at most.

  • A thank-you the same day, with anything they asked about.
  • A check-in a couple of days later asking what's holding them back.
  • A note if the car gets another enquiry or a price change, where your policy allows it.
  • A reason logged when they buy elsewhere, so you learn from the pattern.

The approach is in how to follow up on a quote.

Who answers the phone when everyone's on the forecourt?

Small dealers are often two or three people handling walk-ins, handovers, collections and the workshop. Calls go unanswered at exactly the busiest times.

How do we get service and MOT customers back?

Every car you sell has an MOT due date, and every service customer comes due again. For dealers with a workshop, that's steady work that often goes to whichever garage reminds the customer first.

  • MOT reminders

Built from the MOT due dates in your records, which can be checked against DVSA's MOT history API, open to organisations that register for it.

  • Service reminders

Timed from the last service in your DMS, with a booking link into the workshop diary.

  • Changing-car prompts

Past buyers contacted at the age or mileage they're likely to change, with a part-exchange offer.

  • Reviews after handover

A review request a few days after collection, once the car has settled in.

FAQ

Questions car dealers ask.

Car dealers

  • What software do car dealerships use in the UK?

Franchised dealers use their group's or manufacturer's DMS. Independents mostly use a UK DMS such as Dragon2000, MotorDesk, Click Dealer, Vehiso or Autopromotor, which handles stock, Auto Trader publishing, enquiries and invoicing, usually with a CRM built in.

  • How can AI help a car dealership?

By replying to enquiries in minutes at any hour, following up buyers after test drives, answering calls about stock and bookings, and reminding customers about MOTs and services. Pricing, valuations and finance decisions stay with your team.

  • Can an AI receptionist book test drives?

Yes, if it can read your stock and diary. It confirms the car is still available, offers slots, books one and logs the enquiry. Anything it can't settle goes to a salesperson with a summary.

  • Will it work with Auto Trader leads?

Yes. Auto Trader enquiries reach you through your DMS or by email, and either route can trigger an instant reply and a test drive offer. We work through your DMS rather than connecting to Auto Trader separately.

  • Can it talk to customers about finance?

No. Car finance is FCA-regulated, so the assistant takes the customer's details and passes them to your team. It doesn't discuss rates, eligibility or products.

  • Do we need to change our DMS?

No. Everything we build works with the DMS you run. If it can't connect directly, we work from email notifications and exports.
